Maintain at least 30% empty space in your server mail box.
Do not fret if you get the occasional unwanted spam mail. Simply delete it. The spam filter is constantly updated but a few will still get through. If you want a particular email sender to be blocked, you do so in the Spam Filtering folder
If you get ‘can’t connect to server’ error messages on your outlook program, do the following :
Attempt to read and send mail via the Web mail. If it works, then the problem lies with the the Internet access or your Outlook configuration
Double check your Outlook Configuration to ensure that it is correct
There could also be contributory malfunction with the network equipment such as the router and firewall. Check with your IT support or equipment vendor.
Double check that you have not mis-configured personal virus scan and firewall software operating on your PC.
To avoid being spammed or to used as a sender ( relay ), avoid giving your email address to chat groups, forums or unknown organizations
Delete unwanted mail every 2-3 months. Archive those you need to a back up disk.
Do not use your email account to send mass mail, especially to third party mail lists. Your email server will most likely be black listed as a consequence.
If you need high availability for your email service, ensure that you have a maintenance contract in addition to the email hosting service.
If you are using email for mission critical business processes, keep this separate from the daily office email system.
